Questions
Listed below are the answers to some of the most
commonly asked questions we receive at the Department of Mail
Services. We hope you will find this information useful in conducting
business with us.
How many customers does Mail Services handle
daily?
Each day the department of Mail Services receives, sorts and delivers
mail for more than 3,000 students and staff members. In addition
to the Blanchard Campus Center student mailbox delivery, we deliver
to 88 departments in 26 buildings every day.
What time does the College get the daily
mail?
The department of Mail Services picks up from the U.S. Postal
Service at 8:30a.m. Monday through Friday.
What time does Mail Services start sorting
the daily mail?
Mail Services begins sorting the daily mail no later
than 9:30 a.m. The mail sorting and delivery time requirement
expands and contracts, (based on volume and labor resources),
from six hours to ten hours. All mail is guaranteed to be processed
within 24 hours of receipt.
What time does the mail get placed in the
student mailboxes?
The mail is placed in the student boxes starting at
1:00 p.m. The delivery is finished between 2:30 p.m. and 5:00
p.m. The only times that we may not be finished delivering mail
(including magazines and newspapers) is when the "start of
semester" volume is at its high or at the beginning or end
of a semester when student labor shortages occur. Even on those
days, mail is always in the student mailboxes by noon the following
day after receipt of the mail.
How are student packages processed?
Student packages arrive throughout the day by several carriers.
We process them in the order they are received with the exception
of "express" or "overnight" packages which are
processed immediately. The receiving student's name and box number
are entered and verified on our computer system and an electronic
receipt is generated and emailed to the student.
How do I know if my package has arrived
on the campus?
Packages that are shipped through private carriers are assigned
tracking numbers and are usually traceable through the carriers'
web sites. The tracking response will indicate when it arrived
at Mail Services. Items mailed through the U.S. Postal Service
are not traceable unless the sender has paid for additional services
such as delivery confirmation (this only shows delivery to the
South Hadley Post Office, not the college). You can track packages
shipped by UPS, DHL, FEDEX, Airborne Express and the U.S. Postal

Q. Why do I need to bring the "Package Receiving
Notice" with me to pick up a package?
The College receives over 100 packages every day on average. These
packages are stored in different areas of the department based
on shape, size, etc. The package receiving notice tells the staff
of Auxiliary Services where the package is located in the storage
area. It also provides an additional security measure in that
it helps guarantee that we release the package to the actual recipient
as no one else should have access to the receiving notice.
Why do I need to show my I.D. card?
For the students' protection we must see a valid form of a picture
I.D. such as a drivers license, campus ID card, etc. This helps
to guarantee that we do not release a package to the wrong person.
What time and where can I pick up my package?
Packages can be picked up at Auxiliary Services located on the
ground floor of the Central Services Complex from 8:30 a.m. until
5:00p.m. Monday through Friday during the academic year.
