Voicemail Instructions

Students Voice Mail Instructions

  • Answering machines are not needed when you have voice messaging service
  • Voice messaging service is provided to each student.
  • Each mailbox has a private passcode. Passcodes for mailboxes can be between 4 and 10 digits.
  • Each mailbox has a limitation on the total number of messages (new and saved) that can reside in a mailbox at any time. Delete messages appropriately.
  • In addition, each mailbox has a limited retention time (i.e., 7 days). Message both new and old, will be deleted when this parameter is reached.

Instructions for Voice Mail Activation
From your telephone, dial 3060. You will hear the system prompt you through the steps.

  • Your passcode for the first time you enter the system is 1837.
  • You must complete all three(3) steps:
  • Make a new passcode. Minimum 4 digits, maximum 10.
  • Record a personal greeting.
  • Record your name.

Forward your Calls to your Mailbox
If you want your calls to go to Voice Mail, you must program your extension.

  • To forward into voice mail after 3-4 rings, lift receiver, dial *4 and dial extension 3060.
  • To cancel forwarding into voice mail, lift receiver, dial #4. You will hear a confirmation tone.
  • Please note: You do not have to activate and deactivate call forwarding unless you want your calls to ring until you answer while you are available and only go to voice mail when you are out of hearing of your phone.

Accessing Your Voice Mailbox
To enter your mailbox to pickup messages, send messages, or change a greeting or passcode:

  1. From your own room/telephone, dial extension 3060. Dial your passcode when prompted.
  2. From on campus, dial extension 3060. When the system answers, press *, dial your mailbox number, press *. Then dial your passcode when prompted.
  3. From off campus, dial 538-3060 (use area code 413 where required). When the system answers, press *, dial your mailbox number, press *. Then dial your passcode when promp

Faculty and Staff Voice Mail Instructions

Activate your Voice Mailbox
From your telephone, dial extension 2660.                 
You will hear the system prompt you through the steps. You will enter a preset passcode. You must complete three (3) steps:

  1. Make a new passcode. It should be a minimum 4 digits.
    It is recommended is that the passcode be between 4 and 10 digits. The code should not be sequential and should not duplicate the extension. Do not share it.
  2. Record a personal greeting. Greetings should be pleasant, polite, informative and brief. They can be changed to reflect your schedule.
  3. Record your name. This is what the system will call you when you log in or leave voice mail for someone on campus.

Forward your calls to your Voice Mailbox
If you want your calls to go to voice mail, you must program your extension.

  • To forward into voice mail after 3-4 rings or no answer, lift receiver, dial *4 and dial extension 2660
  • To forward into voice mail if your phone is busy, lift receiver, dial *3 and then dial extension 2660

To forward immediately (or all calls), lift receiver, dial *2 and then dial extension 2660. For Dterm sets, press FWDALL button and then dial extension 2660.

Other Instructions
To change your outgoing message - regular administration voice mailboxes

  • Enter your mailbox and enter your password
  • Press 8 for User Options
  • Press 4 for Greetings. The first thing that the system tells you is what kind of message is enabled. It should say that your Primary message is enabled.
  • Press 7 for Primary Message. You can listen to your current message. Record a new one by pressing the 7 key. Press # when you are finished recording and it will give you options to listen, delete and record over, for instance.
  • Press 9 (X) to save the message.
  • Press 9 (X) again to exit the greeting menu (Do not press E to enable). Press 9 once more to exit the User Option menu.
