LITS Annual Report 2003-2004
Introduction Archives and Special Collections continued to develop, and provide the Mount Holyoke College community with excellent access to, the College’s archival, manuscript, and rare book collection. Primary activities during 2003-2004 were providing reference services, giving instruction to undergraduate classes, displaying exhibits, collaborating with administrative and academic units or departments, as well as accessioning materials into the collection. The service was accomplished in spite of a change in department leadership and, at the end of the year, the loss of the librarian who managed the rare book collection.
Reference In 2003-2004 Archives and Special Collections had 1,855 visitors and 1020 requests for materials in the collection from 449 researchers. Use of the collection increased an average of 30% over the previous year. Primary users of the collection were Mount Holyoke College students, alumnae, and staff in offices and departments. Other researchers include MHC faculty and researchers from outside of the college. The “outsider” researchers were the public, faculty and staff from various institutions, and students at all levels (graduate, undergraduate, high school, middle school, and elementary school students.)
In addition to researchers who visited the collection, the department handled 489 reference telephone calls and 1123 written reference requests.
The department facilitated 112 digital reproductions, of documents or photographs in the collection, for 60 individual requests.

Accessioned 234 collections/items, totaling 164.25 linear feet. (Slightly more than 2002/2003: 158 linear feet, 1/2 inch in 241 numbered accessions.)

Collection Processing Staff processed a total of 73 linear feet, 8.5 inches of archival records and manuscript items. Processing was about half of what was accomplished the year prior; reflecting this year’s increased reference activity and reduction in staff. Processing of collections was accomplished by Patricia Albright, with assistance from Nancy Birkrem, assistant Molly Hazelton, student assistants and interns

Outreach/Collaboration Instruction: Archives and Special Collections staff (Peter Carini, P Albright, M Hazelton, N Birkrem) taught 17 undergraduate classes, comprised of 221 students, how to conduct research using historic collections (both primary resources and rare books.) The number of classes and students averaged 70% more than the prior year’s numbers (2002/2003 only 42 students attended a course taught by the Archives and Special Collections. This statistic is skewed; however, as number of classes taught by N Birkrem (Special Collections) is not immediately available.)
