Filing Tips for the Series System
|
Record Categories Category 1: Personal Information Records that contain personal information about an individual or individuals. These may include, for example, student academic records, faculty and staff personnel records, and alumnae biographical records. After processing, records of this type scheduled for permanent retention are closed for 75 years from date of creation or until the death of the individuals mentioned in the records, whichever is longer. Then, subject to review by the Director of Archives and Special Collections and the records creators/office of record, the records are open without restriction. Disposals of Records Without Permanent Value: Confidential Destruction Records
of the Board of Trustees of the College. These records include any non-published
materials by the Board in its day-to-day oversight of the institution.
These records include, but are not limited to meeting agendas, meeting
minutes, committee records, and correspondence. After processing, records
of this type scheduled for permanent retention are closed for 50 years
from the date of creation after which time these records are open without
restriction. Disposals of Records Without Permanent Value: Confidential Destruction Records of the administration of the University, its policies and programs, that do not fall into either category 1 or category 2. These include but are not limited to records from administrative and academic departments and of committees. After processing, records of this type scheduled for permanent retention are closed for 25 years from date of creation after which time these records are open without restriction. Disposals of Records Without Permanent Value: General Destruction Category 4: Universal Distribution Records that were in general distribution at the time of their creation. These records generally include announcements, University publications, calendars, brochures, some committee reports. After processing, records of this type scheduled for permanent retention are open immediately without restriction. Disposals of Records Without Permanent Value: General Destruction |
