Search Procedures
Procedures for the approval and conduct of staff searches
In an effort to reach the goals stated in our Mount Holyoke College
Plan 2003, the search process has been revised in the following
ways:
- Regular position review meetings will be established so that
positions are approved in a timely manner. The Human Resources
Department may be contacted for a listing of the Position Review
Meeting dates.
- Department head will prepare written rationale for position
replacement and submit to the Position Review Committee.
- Position Review Committee will review each request and determine
whether or not the position will be approved for hire. The Director
of Human Resources will contact the department head once a decision
has been reached.
- When a search has been approved, a meeting will be scheduled
between the department head/hiring authority, the Human Resources
Employment Specialist, and the Affirmative Action Officer to establish
a search plan.
- The Human Resources Employment Specialist in collaboration with
the department head/hiring authority will implement the plan.
- Resumes/applications will be reviewed by the Human Resources
Employment Specialist, and all resumes will then be forwarded
to the department head/hiring authority.
- The Affirmative Action Office will track all affirmative action
cards received.
- The short list, along with resumes/applications, will be forwarded
to the Affirmative Action Officer for review. At this point, the
search process will proceed in one of the following ways:
Going Forward
- The Human Resources Employment Specialist And the department
head/hiring authority will determine how to proceed with the
short list.
- The interview process is implemented and a final candidate
is determined.
- The Human Resource Employment Specialist will check in with
the Affirmative Action Officer on the final candidate.
- An offer will be made to the final candidate.
- The Human Resource Employment Specialist will send a letter
of confirmation.
- The new employee will attend a benefits briefing upon starting
employment.
Continuing the Process
- A meeting will be scheduled with the Human Resources Employment
Specialist, the department head/ hiring authority, and the Affirmative
Action Officer.
- During this meeting the entire process will be reviewed and
a determination will be made on how to proceed.
- A new plan will be implemented.
- The process will continue from the short list identification
through new hire.
As soon as formal approval has been given, the College Staff Affirmative
Action Officer will forward a packet of information and appropriate
forms to the department representative who is chairing the search.
This packet should include the following information and forms:
- The College's Affirmative Action Statement of Goals and Expectations
with regard to Affirmative Action and Equal Opportunity in the
recruitment and retention of faculty, staff, and students and
the Statement on Human Rights and the Equal Opportunity Policy.
- A Checklist of Forms and Deadlines.
- The Position Announcement Form with samples of previous position
announcements and Advertisements which include the College's approved
statement on Affirmative Action.
- The Search Information Form.
- The Voluntary Affirmative Action Information Survey Forms supplied
by the Affirmative Action Office (initially 50-100 forms). Any
person applying for a position should receive this form.*
- The Applicant Log Form to be submitted to the Staff Affirmative
Action Officer along with the department's recommendation for
a hire and the written summary/report of the search.*
- The Final Search Report form.*
- Demographic Statistical Report form.
- Any other Affirmative Action forms or information required by
Affirmative Action laws and/or Mount Holyoke College procedures.
*The responsibility for this function is typically assumed
by the Department of Human Resources for staff searches.
The Department Search Committee Chairperson should return all forms
and the final recommendation of the committee to the appropriate
offices as indicated on the Checklist of Forms and Deadlines. The
College Affirmative Action Office will use the information on all
searches to compile a final report.
