Policies by Type of Web Site

  • The College provides Webspace for all members of the College community, as well as student clubs and organizations.
  • The College encourages creative and responsible expression on the Web.
  • All MHC students, faculty and staff are expected to comply with the College Web Policies, as wel as the Mount Holyoke College Computer Use Policy.
  • To be added to any of these areas of the site, email the Web administrator. You will receive an email reply to your request when it has been fulfilled.
  • Most faculty members are already allotted space in the /courses/ directory. Contact us if you do not have a folder there.
  • If you are a student working on behalf of a member of the faculty or staff, please have that person make the request by email.
  • If you are a member of a student organization, please have the official contact person for the organization make the request by email.
  • See below for specific guidelines for official and non-official College Web sites.

Official College Web Sites
Official College Web sites communicate official information about the College or MHC programs or offices and are maintained by a College office or department staff.  All materials for official College Web sites, including text and photographs, are copyrighted and may not be reproduced without written permission from the copyright holder. n accordance with our policy against advertising, official College sites may not bear the name or mark of the outsourced developer.

Top Level Web Sites

  • Top level Web sites include: About, Admission, News and Events, Student Life, and Giving to MHC.
  • All materials for top level sites must use College templates.
  • Content Management System (CMS) is the Web tool top level sites are to use for creating and updating their Web site.
  • Content is subject to approval by the Office of Communications.

Administrative Web Sites

  • Administrative Web sites support one or more offices or departments, and are maintained for that purpose by a College office or department.
  • All Administrative Web sites must use College templates.
  • Content Management System (CMS) is the Web tool top level sites are to use for creating and updating their Web site.
  • Content is not subject to approval by the Office of Communications.

Academic Web Sites

  • The College requires all academic departments to establish and maintain a Web presence.
  • A staff member should be designated as responsible for maintaining and updating the department Web site.
  • All Academic Departments are strongly encouraged to use one of the official College templates.
  • Dreamweaver is the current Web authoring tool, however, the Content Management System (CMS) Web tool will be available later this year for all academic departments. A member of the Web Stategey Team will contact each department accordingly.
  • Materials for Academic Web sites are not subject to approval by the Office of Communications, however, Communications will work with departments in the areas of site architecture and writing for the Web, as their site migrates into CMS.

Non-Official College Web Sites
The contents of non-official Web sites are the sole responsibility of the individual, club or organzation; Mount Holyoke College accepts no liability for non-official Web sites.

Course Web Sites

  • The current Web authoring tool that the College recommends for courses is ella.
  • Course Web sites are not allowed to use the College templates.
  • Materials for course Web sites are not subject to approval by the Office of Communications.

Personal Web Sites

  • The contents of personal Web sites (mtholyoke.edu/~username/) are the sole responsibility of the individual; Mount Holyoke College accepts no liability for non-official Web sites.
  • Dreamweaver is the Web authoring tool available for creating personal Web sites; the Web Content Management System (CMS) tool is not available to student clubs or organizations.
  • Personal Web sites that belong to individuals who do not maintain an active system account will periodically be removed.
  • Materials for Personal Web sites  are not subject to approval by the Office of Communications.
  • Personal Web sites may not use College templates and they are not subject to approval by the Office of Communications.

Student Clubs and Organizations

  • Student clubs and organizations are encouraged to create Web sites to promote and document their activities.
  • The College Web design is not available for student clubs or organizations, with the exception of Student Government Association.
  • Dreamweaver is the Web authoring tool  available for student clubs and organizations; the Web Content Management System (CMS) tool is not available at this time to student clubs or organizations.
  • Student Web Technology Consultants (Swebtechs) provide workshops on Web related topics, small group Web consulting services and limited one-on-one lab assistance. 
  • It is important to maintain a valid contact name, as the responsibility of maintaining these sites changes every few years.
  • When an organization is no longer registered with Student Programs, the organization's Web site may be removed.
  • Since these sites are not official College sites, they are not subject to approval by the Office of Communications.
  • The contents of student club and organization Web sites are the sole responsibility of the individual club or orgaization; Mount Holyoke College accepts no liability for non-official Web sites.
