The College has designated the following agencies to provide travel services to individuals traveling on College business. It is suggested that travelers book a minimum of 21 days before their trip. The prime booking window is 21 days to 120 days before the departure date.
These are our primary preferred agencies.
Use of these agencies will provide Mount Holyoke and its travelers with several significant benefits, such as:
- Advantageous airfare rates
- Improved customer service
- Improved travel accounting
- Centralized review of the quality of agency services
These agencies will make arrangements for transportation, hotel reservations and vehicle rentals. All travel arrangements should be made well in advance since airfare booked early can often be obtained at a much lower rate. They are also very knowledgeable of the lowest available hotel rooms and can make arrangements for limousine or shuttle services to/from the airport and/or hotels.
Before making final reservations, the traveler should complete a Travel Advance/Authorization Request form to obtain a TA number which will authorize the travel agency to directly bill the College for the airfare or other transportation expenses. The agencies have been instructed to bill the College for pre-approved expenses only. If the charge is to be billed to an American Express corporate card or to the individual directly, a TA number is not necessary.
